Enrolment Services Specialist (Full-time Continuing)

Job description and duties

Coast Mountain College (CMTN), Terrace campus, invites applications for a full-time continuing Enrolment Services Specialist position. This appointment will commence as soon as possible. Salary will be in accordance with the BCGEU Support Staff Salary Scale, Level 9: $2,361.10 biweekly plus a comprehensive benefits plan.

Duties:  The Enrolment Services Specialist provides clear, accurate information on Registrar’s Office services, programs, and CMTN resources. Dedicated to supporting prospects, applicants, and students from registration to graduation, they ensure a smooth experience that strengthens enrolment growth and student retention.

Duties will include but are not limited to:

  • Process applications, registrations, course changes, and maintain accurate student records across all program types.
  • Guide applicants through EducationPlannerBC and provide expert advice on program and course requirements.
  • Manage admissions communications, waitlists, external portals, and update program offerings.
  • Handle Registrar’s Office services including transcripts, enrolment letters, immigration documents, and convocation support.
  • Process tuition, housing, deposits, and other payments; reconcile transactions and maintain sponsorship records.
  • Deliver excellent customer service via phone, email, and in‑person; manage shared inboxes, fax lines, and switchboard.
  • Support students with advising appointments, login resets, forms distribution, and grant processing.
  • Assist with recruitment events and maintain campus knowledge to direct students and the public.
  • Other related duties (of similar scope and complexity) as required

Qualifications

Qualifications/Skills:  A minimum of a two-year diploma in Business Administration or a related field along with a minimum of three years related work experience in a fast-paced environment requiring high cognitive demands, preference given to those with previous post-secondary experience. Directly related experience should demonstrate strong systems aptitude, sound judgement and research ability, financial accountability, communication skills, integrity, and handling confidential information. An equivalent combination of experience or education may be considered. 

Required skills and abilities include:

  • Knowledge of the post-secondary education sector in BC, including programs and services available at CMTN.
  • Demonstrated proficiency in a variety of technology platforms, including database software and MS Office products such as Outlook, Teams, Word, Excel with a typing speed of 50 words per minute. The ability to troubleshoot common software issues.
  • Must be able to provide excellent customer service in a high pressure, ever changing, client-centered environment, where deadlines are critical.
  • Excellent attention to detail with a high accuracy rate for data entry.
  • Ability to use critical thinking skills to make sound assessments on student files rooted in policy and procedures.
  • Assess applications against approved program requirements.
  • Basic knowledge of HTML coding.
  • Ability to work on a close team, as well as independently.
  • Proficient problem-solving, collaboration, and de-escalation skills.
  • Excellent interpersonal communication skills with the ability to relate effectively with the public, student body, and internal staff.
