Job description and duties

Coast Mountain College (CMTN), Terrace campus, invites applications for a full-time term Registrar Services Officer. This appointment will commence as soon as possible and end October 15, 2027 (subject to a leave). Salary will be in accordance with the BCGEU Support Staff Scale, Level 8: $2,273.160 biweekly plus a comprehensive benefits plan.

Responsibilities: The Registrar Services Officer supports transfer credit, curriculum management, and academic governance processes. This role works closely with students, faculty, and external institutions to ensure accurate articulation, maintain academic records, and keep program and course information up to date. The position also provides administrative support to Education Council and contributes to key Registrar’s Office functions.

Key Responsibilities:

  • Articulation & Transfer Credit: Coordinate transfer credit evaluations, maintain articulation records, support students and faculty, and ensure efficient, accurate processing.
  • Website & Catalogue Updates: Maintain program and course pages, calendars, and Education Council content; ensure accuracy and consistency across all academic web materials.
  • Curriculum & Records Management: Oversee curriculum systems, update course and program files, and prepare catalogue content.
  • Committee & Office Support: Support Education Council meetings and elections, process transcripts and credentials, maintain forms, and assist with Registrar’s Office projects.

Qualifications

A Bachelor’s degree in a related discipline along with a 2-3 years directly related experience, including professional communication and database system use. An equivalent combination of education and office experience may be considered. 

Required knowledge, skills and abilities include:

  • Advanced proficiency with Colleague, Courseleaf, reporting tools, MS Office, and email (minimum typing speed of 50 wpm).
  • Knowledge of website management and proficiency with HTML.
  • Ability to create documentation and processes for new software systems.
  • Strong problem‑solving, collaboration, and negotiation skills.
  • Ability to work effectively in a high‑pressure, client‑centered environment with critical deadlines.
  • Demonstrates a collegial, professional approach with the ability to communicate patiently and effectively across diverse individuals and situations.
  • Strong time‑management skills with the ability to prioritize competing deadlines while maintaining exceptional attention to detail.
  • An understanding of the Freedom of Information and Protection of Privacy Act (FIPPA).
  • Demonstrated ability to work collaboratively as part of a team.
